Communicating Resignation to a Manager
Alex: Good morning, Robin. Thank you for meeting with me. I have something important I need to discuss, and I wanted to talk to you personally about it.
Robin: Good morning, Alex. Sure, what's on your mind?
Alex: Robin, I want to start by saying how much I've valued my time here at [Company Name]. The opportunities for growth and the support I've received from you and the team have been instrumental in my professional development.
Robin: That’s wonderful to hear, Alex. We’ve certainly appreciated your contributions.
Alex: It’s precisely because of this positive experience that makes this discussion a little difficult. I’ve recently been offered an opportunity elsewhere that aligns closely with my long-term career goals and personal aspirations. After considerable thought, I’ve decided to accept the offer. Therefore, I'm here to formally tender my resignation.
Robin: I see. This comes as a bit of a surprise, but I understand that these decisions are part of professional life. May I ask what the new role entails?
Alex: Absolutely. The new position offers me the chance to lead projects that focus on [specific sector or interest], which has always been a passion of mine. It also brings me closer to family, which has become increasingly important to me.
Robin: I appreciate you being upfront about this, Alex. Family is important, and pursuing your passion is something we can all respect. What is the timeline you’re considering for this transition?
Alex: I want to ensure a smooth handover of my responsibilities. While the standard notice is two weeks, I’m prepared to stay on for up to four weeks to help train my replacement or to wrap up any outstanding projects.
Robin: Thank you, that’s very considerate of you. We’ll definitely need to discuss how to manage this transition and communicate it to the team. Have you thought about how you would like to do that?
Alex: I believe it would be best to first identify the key areas that will need coverage. I’ve prepared a document outlining ongoing projects, upcoming deadlines, and potential internal candidates who could take over specific tasks. I'm also willing to help create a comprehensive handover plan.
Robin: That’s very thorough, Alex. We’re going to miss your diligence and commitment. Let's schedule a time to go over the details of your handover document and plan the next steps.
Alex: Thank you, Robin. I can't stress enough how difficult this decision was, but I'm grateful for your understanding. I hope to maintain a positive relationship with you and the company. I'm also open to staying connected for any future endeavors where our paths may cross again.
Robin: Of course, Alex. You’ll always have allies here. Let’s work together to make this transition as seamless as possible. And let's definitely keep in touch.
